COMMON QUESTIONS
BidBack FAQ
The practical details of getting estimates in, following up, and keeping customer responses in view.
COMMON QUESTIONS
What contractors usually ask before signing up.
How does BidBack decide when to follow up?
BidBack uses a default cadence that mirrors what good sales
reps already do - a check-in within the first week, a softer
budget-aware nudge in the second, and a respectful final
message before the lead is closed out. You can edit the
templates, change the timing, pause an estimate, or mark it
as replied at any point. Nothing happens automatically that
you cannot see and control.
Will homeowners feel spammed?
The templates use a warm, human tone, and outgoing emails include a stop-follow-ups link. Using that link stops queued follow-ups. For replies sent directly to your inbox, use Mark Replied in BidBack to stop the sequence. Replies can stop follow-ups automatically only when inbound reply routing is configured. Keep statuses current when a customer books or asks to stop.
Do I have to give up my CRM?
No. BidBack is intentionally lightweight. You can drop in a
CSV of recent estimates, push records from an inbound webhook
(Zapier or your own form), or add bids one at a time. There
is nothing to migrate, no long onboarding call, and the data
is yours to export at any time.
What happens when a customer replies?
Without inbound reply routing, replies arrive in your email inbox and do not automatically update BidBack. Respond from your inbox as usual, then use Mark Replied on the estimate to cancel queued follow-ups. You can also pause the estimate or record a booked or lost outcome. Automatic reply detection and stopping require configured inbound reply routing.
Is this only for big contractors?
No. BidBack is designed for small trade businesses without a
dedicated sales coordinator. If quoted leads are slipping
through the cracks because everyone is busy running the
actual work, BidBack is built for you. It runs in a browser and lets you
review your follow-up queue and track the outcomes you record.
How quickly can I be up and running?
The intended setup flow is simple: import your last thirty
days of estimates, edit one template so it sounds like you,
confirm email delivery, and use the Follow-Ups screen to
review what to send next. The fourteen-day free trial is
designed to give you enough time to test whether better
follow-up can bring a silent estimate back.
